NexTron IT — Privacy Policy
This policy explains how Nick & Sara Pty Ltd trading as NexTron IT (ABN 63 618 452 949) ("NexTron", "we") handles personal information across all NexTron IT tools, products, services and websites — current and future. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What we collect
- Account details — name and email address from your sign-in provider (Google or Microsoft), and any profile details you add: company, role, phone, address.
- Business data you upload — files, records, leads, vehicle details, reconciliation data and other content you submit to the tools. You are responsible for being authorised to provide it (see our Terms of Use).
- Usage and billing records — tool usage counts, plan and subscription status, payment records (processed by Stripe — we do not store card numbers), and support tickets including any screenshots you attach.
- Partner records — for partners: ABN, GST registration status, commission and activity records, and your electronic acceptance of the Partner Agreement. We deliberately do not store bank account details.
- Technical basics — authentication tokens and logs necessary to run and secure the service.
2. How we use it
- To provide, secure and improve the tools; to authenticate you; to meter plans and process payments; to respond to support tickets; to calculate and pay partner commissions; and to send service emails (ticket updates, account and agreement notices).
- We do not sell personal information, and we do not use your uploaded business data to advertise to anyone.
3. AI processing
- The tools use artificial intelligence to process the content you submit. AI processing for our tools is performed on infrastructure located in Australia, consistent with our data-residency commitment.
4. Where your data lives
- Customer data is hosted and processed on infrastructure located in Australia.
- Limited service providers we rely on: cloud hosting and database services (Australian regions), Stripe for payments, and our email provider for service notifications. Each receives only what it needs to perform its function.
5. Who can see what
- Your account data is visible to you and to NexTron administrators for support and operations.
- In team plans, team owners and admins can see their team's usage and records within the tool's sharing rules.
- If your account is attributed to a sales partner, that partner can see your name, company and subscription/commission-relevant records — not your uploaded business data.
- We disclose personal information where required by law.
6. Security and retention
- Access is controlled by authenticated accounts with role-based permissions, and administrative actions are audit-logged.
- We keep personal information while your account is active and as required by law (e.g. financial records). On account closure we delete or de-identify personal information within a reasonable period, except records we must keep.
7. Your rights
- You can view and update your profile details in-product at any time, and view your Terms of Use acceptance record there.
- You may request access to, or correction of, the personal information we hold about you, or make a privacy complaint, by emailing admin@nextron.com.au. We respond within a reasonable time; unresolved complaints may be taken to the Office of the Australian Information Commissioner (oaic.gov.au).
8. Changes
- We may update this policy as the service evolves. Updates are published on this page; material changes will be flagged in-product.
